About the role We’re all about helping our members make the most of their money. And while they go after their goals, you can too. Reporting to the Senior Portfolio Manager – Head of UK, you’ll ensure the smooth and efficient running of our UK office. Acting as the central point of contact for office operations, you’ll manage administrative processes, support team members, and maintain a productive work environment. You’ll also liaise with internal teams, many of which are in Australia and external suppliers to ensure compliance, organisation, and resource availability. Day to day, you'll: - Develop and maintain office processes, policies, and systems; manage facilities and health and safety compliance; oversee procurement and vendor contracts within budget.
- Track expenses, process invoices, prepare budget reports; help ensure legal compliance; support WH&S assessments and business continuity planning.
- Coordinate onboarding and relocation; organise team-building and internal communications; act as main contact for office-related queries.
- Manage complex calendars and meeting logistics; prepare agendas, minutes, and presentations; arrange international travel and accommodation.
📍 Location: London, near Marble Arch. 📄 Contract: Full-time, permanent. About you It goes without saying you'll be a great communicator with top notch interpersonal skills. We'll also expect you to pick up problems and come up with quick, creative ways to solve them. It's quite likely you tick some of the following boxes too: - You have proven experience managing sensitive and time-critical administrative and reporting functions.
- You’re highly organised and able to multitask and manage projects in a fast-paced environment.
- You can work under pressure and meet tight deadlines.
- You have excellent communication and interpersonal skills.
- You’re proficient in MS Office, Excel and Powerpoint and familiar with office technology.
- You have solid knowledge of budgeting and financial reporting.
- You understand HR processes and UK employment regulations.
- You’ve worked in a similar role, preferably within pension funds or financial institutions.
- You’re confident working independently and taking initiative.
- You have experience managing complex international travel.
