About the role We’re all about helping our members make the most of their money. And while they pursue their goals, you can too. As a Team Administration Coordinator (known internally as an Investments Administration Associate), you’ll provide top-notch admin and secretarial support to our Investments team. Day to day, you'll: - Provide high-quality, confidential admin support to relevant General Manager. This includes diary management, travel, team meeting coordination, and expense management.
- Manage travel arrangements for all relevant team members. This includes domestic and international travel.
- Coordinate internal and external team meetings, off-sites, workshops, functions, and events. You'll handle scheduling, booking rooms, organising catering, and overseeing the process.
- Manage document libraries, intranet pages, SharePoint sites, and Business Unit organisation charts.
- Prepare Board, Committee, and Management papers, presentations, and supporting information.
- Handle general administrative activities including onboarding and offboarding team members, managing stationery, equipment, and building access.
- Manage expense reports. This includes coding and reconciliation of corporate credit cards, staff reimbursements, and other payments.
- Review monthly cost centre reports. You'll highlight items requiring action or follow-up.
- Provide support and backfill for the Executive Assistant and other Investments Administration Associates as needed.
This role is based in Brisbane and is available as a max-term/secondment opportunity ending in December 2026. We'll also expect you to pick up problems and come up with quick, creative ways to solve them. It's quite likely you tick some of the following boxes too: - You’ve got a proven ability to manage sensitive and time-critical admin and reporting functions.
- You’re great at working under pressure and meeting tight deadlines.
- You’ve got experience in a similar role, preferably within a superannuation fund or other financial institution.
- You’re highly skilled in MS Word, Excel, PowerPoint, and Outlook.
- Your communication skills are excellent, both verbal and written, with attention to spelling, grammar, and presentation.
- You’re organised and can think clearly and calmly.
- You can work independently with minimal supervision.
